Contractor Portal

THE CREW’S PAPERWORK,
DONE FROM THE FIELD.

Ironhand Energy built this portal to run its own contractors: onboarding, agreements, daily field records, invoices, customer billing, and the margin on every job, all from a phone. It is now available to other field-service companies, on their own deployment, under their own name.

What it does

Everything between the handshake and the check.

One record of each contractor, job, day, and dollar, kept by the people doing the work and reviewed by the office, with an audit trail of every change.

01

Onboarding without paperwork chasing

Invite a contractor by email. They activate their own login, confirm their contact details, upload a W-9, and enter direct deposit details that are masked on screen and encrypted at rest.

02

Agreements issued and signed electronically

A master agreement, work orders, standing rate schedules, and amendments are issued from approved templates and signed on a phone, with initials, timestamps, and a hash of the exact text.

03

Daily field records from the truck

Service days, travel, standby, per diem, mileage, and expenses with receipt photos, entered day by day or as a week, under the rates that apply on that date.

04

Contractor invoices that certify themselves

Invoices are built from approved days, certified by the contractor, reviewed by the office, corrected through a request rather than a re-send, and paid with a recorded check or transfer.

05

Customer billing and QuickBooks

Customer invoices with payment terms, attachments, and an expiring link the customer opens without a login; QuickBooks Online sync; reports and spreadsheets for any period.

06

Compliance and the morning report

Certificates of insurance and licenses with expiry dates, a to-do list on the Overview, and an emailed morning report of yesterday's activity and today's items.

07

Margin on every job, while it is running

Billed against contractor cost for any period, by job and by contractor, priced by the same figures the invoices use so the two can never disagree. Jobs running thin are flagged before the month closes.

08

Year-end without the scramble

What each contractor was paid, by the year it was paid: a printable statement for them, and a preparation report for your accountant in which everything is included unless a documented exclusion is approved.

On every device

Built for the phone in the truck and the desk in the office.

The same portal on iPhone, Android, iPad, and desktop. These screens are from the current release, with sample records.

How it is delivered

Your company, your deployment, your records.

The portal is not a shared marketplace. Each company gets its own isolated deployment, provisioned, updated, and supported by Ironhand Energy.

  1. 01

    Your own deployment

Each company runs on its own Azure resources and database, under its own name, logo, contract templates, and mailboxes. Nothing is shared with anyone else's data.

  2. 02

    Stood up in an afternoon

Provisioning is scripted. You receive a sign-in page, create the first administrator with a one-time key, and can load sample records to explore every screen before real work starts.

  3. 03

Checked on every device before every release

Every release runs a full browser suite and a screen sweep on iPhone, Android, iPad, and desktop widths before it reaches your portal. Ironhand runs the same release on its own crews first.
